The process
Four steps, ten business days.
In writing, from an owner or administrator. No call required and no retention conversation.
Step 1What you want, in which formats, and where it should be delivered.
Step 2Within ten business days for a standard export. Large document volumes may take longer, and we will tell you upfront.
Step 3Open it, check record counts against the product, and tell us if anything is missing before we close the account.
Step 4On written instruction we delete your tenant and confirm it in writing. Backups roll off on their normal schedule rather than being surgically edited, which is standard practice and worth stating plainly. Anything we are legally required to retain — and there is very little — is described in the trust center rather than buried in terms.
Before you start
Five things worth deciding first.
Bring this to the walkthrough and we will go through it with you.
Do it while the account is live. That way you can check it against the product and ask for anything missing.
Most states require behavioral health records to be retained for years after discharge. That obligation is yours, and it survives the subscription.
Structured data is only useful if your next system can read it. The rendered PDFs are the fallback that always works.
Access records are the thing you will want if a breach question surfaces two years later. Almost nobody thinks of this.
Optional, obviously. But if we lost you to something we could have fixed, we would rather know than guess.
